How to configure email sending, DNS records, and custom domain branding

Overview

VisaFlo can send client-facing emails and support branded email/domain setup. If email sending or white-label branding is not configured correctly, clients may not receive invitations or the sender may still show VisaFlo.

Common setup terms

  • Sender email: the email address shown when VisaFlo sends emails for your firm.
  • DNS records: records added at your domain provider, such as GoDaddy, NameSilo, Squarespace, or HostGator.
  • CNAME records: DNS records commonly used for domain verification.
  • SSL: the certificate that allows your custom domain to load securely.
  • Propagation: the waiting period after changing DNS records.

Fix "Email sender not configured"

  1. Go to email or branded email settings.
  2. Confirm the sender email is added.
  3. Confirm the required DNS records are added at your domain provider.
  4. Wait for DNS propagation.
  5. Check whether VisaFlo shows the sender as verified.
  6. Retry sending the invitation or review email.

If DNS does not validate

Check:

  • The record type matches exactly, usually CNAME where requested.
  • The host/name field does not duplicate your domain.
  • The value/target is copied exactly.
  • There are no extra spaces.
  • You changed the records at the correct DNS provider.
  • You waited long enough for propagation.

If clients do not receive invite emails

  1. Confirm the client email address.
  2. Check mail delivery records if available.
  3. Ask the client to check spam/junk.
  4. Try resending the invite.
  5. If urgent, copy the questionnaire link if your workspace exposes it.

Send screenshots of:

  • Email sender settings.
  • DNS records at your domain provider.
  • Any validation or SSL error.
  • The client email and case ID.
